Total Spectrum is currently seeking a full-time Office Assistant to join our team! The Office Assistant position is responsible for managing multiple tasks in a busy, high-volume office.

  • Schedule: Monday-Friday 8am-4pm or 9am-5pm 
  • Location: Lansing Learning Center - 2248 W Mount Hope Rd Okemos, MI 48864
  • Pay: $18.00/hr 

Responsibilities

  • General office duties including maintaining supply inventories, mail and fax distribution, and photocopying 
  • Create, organize and maintain office filing systems, send files to storage facilities, as needed     
  • Create and maintain picture library of program materials used during intervention sessions 
  • Assist in preparation for monthly training; create new hire training binders, bags and badges 
  • Process I-9 Form to verify the identity and work eligibility of new employees hired 
  • Responsible for keeping the office tidy and organized, including maintaining office equipment and decorating the area when appropriate 
  • Additional responsibilities as requested by Clinical Director, Staff Support Manager, Regional Administrative Manager or other staff

Qualifications

  • High School Diploma, required
  • Minimum of 2 years prior administrative experience in an office setting
  • Strong software proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
  • Excellent upbeat telephone skills handling multiple incoming phone lines
  • Excellent customer service skills
  • Exceptional communication skills
  • Proven ability to multi-task, prioritize and organize effectively
  • Strong attention to detail, accuracy, and follow-through 
  • Ability to quickly learn new software programs as needed
